A Phone Call Can Save the Day: A Story about Keeping in Touch with your Clients

There really are times when projects aren’t going that well, but keeping your clients informed  in spite of shortcomings or challenges, can save that treasured relationship and even boost business. One of the rules to providing exceptional customer service is keeping  in touch with your clients and how often.

Here’s an example of a project that almost ended in a complete disaster, but it was saved by a single phone call.

Bill was a new client; and he had contracted my services to promote an upcoming event. The project was halfway done as Bill had let go of the services of the first publicist, mid-way. Just by looking at the project timelines, objectives, deliverables, and goals, I realized that the planned event was difficult to sell to the media. The previous publicist wasn’t able to successfully do so; but still, I decided to give it a try.

In one of my meetings with Bill, he had complained about how my predecessor handled the project badly. Bill mentioned that she had badly laid-out media release plans, basic spelling and grammar errors, and never called him back. The last one made me cringe: “never called back.” When Bill mentioned this, I knew that from the tone of his voice, being consistently informed was his main concern. And yes, like Bill, being ignored is the thing that clients hate the most.

With this in mind, I made sure that I found out when Bill likes to be contacted and how. I gave him regular updates, whether him or I had anything much to say didn’t matter. These calls just lasted  just about three minutes each, two times a week. More importantly, if he called, I’ll make sure to call him back within the day.

At the start of the project, Bill liked my media plans and he found that the releases didn’t contain any spelling or grammatical errors. Even though this was the case, I still didn’t get much publicity for the event. Still, I consistently gave him a call, reported the challenges, and explained what my next action plans were. Even though we faced big challenges on the project, our conversations always ended on a constructive and positive note.

Bill wasn’t the only client I was providing services to. During the time, I had multiple clients all with high-demand projects. While I am proud of my efficiency and reliability when handling multiple projects, something unforeseen happened with another client. This caused a snag in my timelines; and the deliverables for Bill’s event were delayed by two days.

I picked up the phone and explained the situation to Bill. I told him what my action plans were, and assured him that everything was still on target. Bill could’ve been furious at these delays. Yes, he was disappointed; but at the end of the call he appreciated my honesty and was satisfied that he wasn’t forgotten. He was also happy to know that I was getting a move on.

In the end, we did get some publicity, but not the amount that we were shooting for. The event didn’t get the numbers that was needed; and it was ultimately cancelled. Based on the results, my relationship with Bill should’ve gone sour; and that would’ve been bad publicity on my end. Yet, Bill still paid me in full.  He also told me that he would have me handle another event in the future. He must’ve noticed my doubtful look, and so he said, “I know you did everything you could.” Bill was right, I did everything that I can; and he knew that because I consistently kept him in the loop of what’s happening.

A year later, Bill fulfilled his promise and phoned me back. The event, this time, was the perfect one for media attention. It was a huge success for Bill, myself, and everyone involved. The event also generated new clients for me. Never had I been so grateful that someone called, just like they said they would.

Everything moves in cycles; the weather, the night and day and the season. What happens now is a repetition of the past and inevitability in the future. Business even follows this law and knowing exactly how cycles work, you are better prepared to handle all the challenges that go with it.

Nothing stays the same in this world. Either one progresses or the other way around. Failure is followed by recovery, and then eventually success, and then another failure which is again succeeded by another recovery and then not long after, success, and so on.  The cycle never ends and the loop continues even long after we are gone. The economy has its own cycle, and if only you know exactly what a cycle means, then you would not have been caught surprised when the recession happened. It happened before, sure it will happen again.  Your business whether it’s small or not, will take its own cycle. It will have its own ups and downs, but as long as you know that cycles are inevitable, then you can get through anything. Fashion does not stay the same for quite long, it changes, but it does not actually introduce an entirely new style but only a slight improvement of yesterday’s. Your life is quite the best example of a cycle, starting off with vitality and tries everything with reckless abandon. Just like any business, it starts with a seemingly inexhaustible energy until it reaches a certain point that everything needs recharging. So when your business hits a snag as it courses through the business cycle, you must consider some simple ways to bring it back its enthusiasm, here are the following:

  • Innovation – Do not cease from innovating and introducing innovative products. No product stays marketable forever without even a slight modification. People are hungry for innovations. People have an insatiable hunger for something better, bigger and faster. Therefore, you have to know how to reinvent; either you reinvent the company’s image or the product line it produces. Innovation is adaptive in nature, and adaption is nature’s way of preserving itself. If you can keep a profile of being highly innovative, you will come out as fresh. And this will eventually translate to something greater.
  • Joint venture – A joint venture is a picture of power poised for a great new start. It is a very good opportunity to overhaul your system to rightly fit with your partner thus giving you better capability of preparing for business cycles’ ups and downs.
  • Self reinvention – you will also have to reinvent yourself even if you are a soloist businessman. Reinvention is not limited to big corporations. Rather, everyone is encouraged to tap its richness and experience firsthand its benefits and advantages. In doing this you are encouraging and conveying to your employees the importance of innovation.

These are people who think like me and have the capacities that could exactly complement me as I run my business efficiently. The advisory board helped me achieve bold new heights for my business, it helped me grow my business at a rate that I envision it to. It made me feel and think like I am running a huge company which altogether helped me gain confidence in my bearing.

When I was still a 13 year old kid I used to play foot ball. My Dad seldom comes to watch me play because his schedules are always full chasing after his lofty dreams and ambitions. So when one day he showed up, it really made a difference. I was playing the best game of my life at that time. I have a friend named Patrick who has a dad like my own. A businessman and successful and have as much reasons as my Dad for not coming to watch us play football. But his Dad always makes it a point to come every game and cheers loudly for his son. He would always shout at the top of his voice for bill. As children, we would make fun of this kind of gestures but it is only when I was already a grown up that I view this in an entirely new and higher perspective. I have grown so much respect for Patrick’s Dad by the time I realize his commitment to support his son. Both my dad and Patrick’s were highly successful in their ventures and I would say it was my dad who paid a higher price for his success. And I wish to emulate Patrick’s Dad’s fatherhood style when I already have my own children.

You have to draw a line between your priorities. And you have to identify which comes first in your priority list. I would say that you need to learn to balance things out so as not to make any unnecessary cost along the way as you tread towards your ladder of success. Make your family be your greatest motivation, and do not neglect them on the process of achieving your dreams. Value them much more than you value your business clients.

I have had my down times I admit. There are times that I had my difficulties along the learning curve. But in the end, I realize I want to be the father that my children will remember as someone who is always there for them, for love and support. Do not miss important family dates for the sake of business meetings. You don’t get to hold the years, sooner or later, your children will grow faster than you could ever notice and you will realize that you have missed their golden years of growing up.

As a businessman, you have to take good care of your business with utmost passion without compromising your quality time with your family. Every time you are faced with a decision to choose between work and family, choose family, all the time, every time.

Have you often experienced a few brushes with some of your closest friends that made you question your self-confidence?

Allow yourself to analyse the situation. Take a step backward and see things in an entirely different perspective. Give yourself time to contemplate on things that evoked doubt and frustration within yourself. You do not need to jump into hasty conclusions right away. Consider talking to people who could help you sort things out. By doing this, you give yourself enough time to learn things that need attention and apparently make you reclaim your self-belief.

2. You need to decide appropriately

After spending enough time to analyze all the feedback you received, you need to make an appropriate decision that rightly addresses the issue at hand. Deal with it. Meet it head on. Make a resolve to become a better individual and then move on. All you really need to do is to glean the relevant feedback for your own benefit, and then decide to continue with your pursuit. Decide to go on with your aspirations. Your decision matters what becomes of you.

3. Be utterly focused

When everything goes tumbling down, your focus will get you through even in the direst circumstance. Your focus will strengthen you when your body already feels weak battling self doubt. You should never, even for a moment, take your eyes off your goals; you must magnify the result, the prize. Your focus allows you to see things clearly which consequently boosts your self-confidence.

4. Do not give up

Do not give up. Do not even contemplate the idea of losing, even for a moment. You need to believe that nothing could deter you from achieving your dreams that you are meant to achieve. If you make mistakes, learn and then start over again. If you fall, stand and strive again. When you get tired, rest for a while then get fired up again. Do not allow yourself to give in to defeat. Failure is never permanent, unless you allow it to be. That is why you must never give up. Do not give up on your dreams.

You cannot feel responsible about what other people say about you. You just have to believe that you possess the ability to believe in your dreams and make them come true.
